Legal Assistant - HOA
THE POSITION
Seeking a legal assistant to help support the HOA team in preparing and organizing various legal documents, collecting debts from homeowners, data entry, and general administrative duties.
The legal assistant will receive direction and tasks from the firm?s attorneys but will ultimately report to the Firm?s managing partner for the division.
ESSENTIAL DUTIES AND TASKS
- Perform various steps in a foreclosure action, which may include preparing and recording liens and Notice of Defaults.
- Review and update delinquent owner?s accounting ledgers, using various ledgers to compile into one and calculating late fees and interest charges
- Prepare, review and/or finalize a variety of demand letters
- Perform title searches and online research
- Use billing system and calendaring system
- Research possible active Bankruptcy cases
- Prepare and transmit documents for recording
- Effectively communicating with board members, homeowners, and clients via telephone and email
- File maintenance of firm?s non-judicial and judicial collection files
- Perform data entry and analysis on various databases
- Preparing legal correspondence and documents
- Submitting documents to be electronically recorded and filed
- Answer phones, return messages, manage deadlines
- Drafting legal documents such as contracts, leases, loan documents, and other communications
- Preparing and filing documents with courts
- Organizing and archiving the documents related to completed and ongoing cases including exhibits, documents, briefs, and appendices
- Aid attorneys with interrogatories, requests for production, and other discovery requests
- Assist in trial preparation by preparing binders, indexing discovery, and preparing trial exhibits
- Other administrative tasks within the department, as needed
DESIRED QUALITIES AND QUALIFICATIONS
- Proficient with MS Office
- Knowledge and experience within HOA industry in legal admin or assistant role
- Able to maintain a full-time, in-person working schedule
- High School degree or greater, college degree preferred
- 1-3+ years experience
- Keen eye for detail and ability to meet deadlines
- Strong organizational skills and ability to juggle multiple projects and priorities under deadlines
- Strong writing and communication skills with attention to detail
- Approachable, customer service mentality
- Applicable knowledge of legal terms, procedures, and protocols
- Ability to multi-task, a quick learner that thrives in a fast-paced work environment
- Must be able to sit, stand, navigate stairs, occasionally lift up to 20 pounds
- The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation.
